Cancellation Policy

No refunds will be given for cancellation or no-show. Sessions may be rescheduled to a different date, free of charge, if requested at least 1 week before the original session time. Rescheduling requests made after that window are treated as a no-show under this policy.

1. Use and Safety

1.1. The vrzonegrimbergen.be website is owned and operated by T.I. Experiences (trading as VR Zone Grimbergen). The company reserves the right to change or cancel the terms and conditions and the content of the site at any time at its sole discretion and without notice.

1.2. The terms and conditions of this Agreement apply to all visitors to the VR Zone Grimbergen website and should be read carefully before use.

1.3. VR Zone Grimbergen will use its best efforts to provide you with the most current and accurate information on its website.

1.4. The VR Zone Grimbergen website is for your personal, non-commercial use. You may not modify, copy, distribute, transmit, display, perform, reproduce, publish, license, create derivative works from, transfer or sell any information obtained from this site.

1.5. You may not link to this site or use all or any part of the VR Zone Grimbergen website for any fraudulent, illegal, defamatory, harmful, obscene or objectionable purpose.

1.6. You accept that the Internet is not fully secure. VR Zone Grimbergen agrees to take all necessary steps to protect the security of payment card information. VR Zone Grimbergen will not be legally responsible for any damages you may suffer as a result of the loss of information transmitted to VR Zone Grimbergen, in the event that VR Zone Grimbergen did not fail to perform its obligations and did not cause such loss.

1.7. VR Zone Grimbergen shall not be legally responsible for any direct or indirect, consequential or incidental damages, including (without limitation) lost profits or revenue, loss of opportunity, cost of substitute products or services, loss or damage to data or business interruption, arising out of any use of the site, where VR Zone Grimbergen has not breached its obligations and is not the cause of such damages.

2. General

2.1. Nothing in these Terms is intended to affect your statutory consumer rights.

2.2. Each arena session is designed for a group of 2 to 6 players.

2.3. The trademarks and logos appearing on the site are the property of VR Zone Grimbergen and The Park (where applicable). You may not use them without written permission, and you agree that unauthorized use may constitute a violation of these rights.

2.4. All terms and conditions contained herein are included in the contract with VR Zone Grimbergen.

2.5. VR Zone Grimbergen’s website may contain links to third-party sites. The operation of these sites is beyond VR Zone Grimbergen’s control and you use them at your own risk.

2.6. VR Zone Grimbergen collects and stores your personal information in accordance with its Privacy Policy, and does not disclose it to third parties except as described there.

2.7. Photos and videos may be taken on the premises for personal use. VR Zone Grimbergen staff may also take photos or videos during your session for marketing purposes. By booking, you consent to this; if you would prefer not to be photographed or filmed, please let staff know on-site before your session begins.

2.8. You agree that VR Zone Grimbergen may contact you from time to time with offers and promotions by email or telephone, in line with your consent choices under the Privacy Policy.

2.9. In the event of loss, theft, or damage to VR equipment during a session, VR Zone Grimbergen will charge the flat-rate fees set out in Section 6.9, reflecting the reasonable replacement value of the equipment as provided by VR Zone Grimbergen’s technology partner, The Park.

2.10. While on our premises, you must comply with our codes and regulations, adopt appropriate standards of behaviour, and cooperate with staff on all safety instructions.

2.11. VR Zone Grimbergen does not tolerate any form of harassment or intimidation of its employees or other guests.

2.12. The guest enters the venue and uses the VR service at their own risk. VR Zone Grimbergen and its technology partner, The Park, disclaim any liability in the event of incompatibility between the service and a guest’s medical condition. Guests who use the service despite their state of health — including but not limited to pregnancy, recent hospitalisation, asthma, or epilepsy — do so at their own risk. Guests are responsible for disclosing any relevant medical condition to staff before their session begins.

3. Reservation

3.1. Reservations can be made in Dutch, French or English. Where the Dutch and French versions of these Terms differ, the Dutch version governs.

3.2. You must be 18 years of age or older to make a reservation.

3.3. It is your responsibility to ensure that the package and session you have booked meet your expectations (duration, number of players, game content).

3.4. A reservation is only valid once confirmed by VR Zone Grimbergen (i.e. booking confirmation email received).

3.5. Reservations made through the official VR Zone Grimbergen website are accepted for all bookings. Corporate group bookings may additionally be made by phone or email; other booking channels are not officially recognized and may be refused.

3.6. If you wish to transfer your session to someone else, contact VR Zone Grimbergen by email or phone at least 1 week before the session start. This transfer may be refused.

3.7. Reserved sessions may not be transferred or resold for commercial purposes or at a premium. Violation may result in denied entry.

3.8. You are solely responsible for entering accurate information on the online reservation form.

3.9. Booking confirmation is sent by email only.

3.10. A reservation becomes invalid and entry may be denied if the group is more than 15 minutes late. In this case, the session is treated as a no-show under the Cancellation Policy above and is non-refundable.

3.11. Reservations, once paid, are not changeable or cancellable — subject to the Cancellation Policy above.

4. Rates

4.1. The price (incl. VAT) of each package is indicated on the VR Zone Grimbergen website in the reservation section.

4.2. The price is set per player, according to the package selected (Explorer / Hero / Legend) and the day/time of the session. The total session price is calculated as the number of confirmed players × the per-player package price at time of booking.

4.3. Reservations can be made through the VR Zone Grimbergen website, or by phone/email for corporate group bookings.

4.4. Full payment is required at the time of reservation.

4.5. If fewer players attend than booked, the difference in price will not be refunded, since capacity was reserved on your behalf.

4.6. If more players attend than booked, up to the arena’s 6-player maximum, the additional player(s) must be paid for at the applicable package price upon arrival, subject to availability.

4.7. In accordance with Article VI.53, 12° of the Belgian Code of Economic Law, the right of withdrawal does not apply to services related to leisure activities where the contract provides for a specific date or period of performance.

Governing law and jurisdiction: These Terms are governed by Belgian law. Any dispute that cannot be resolved amicably will be submitted to the competent courts of the judicial canton of Grimbergen (Vredegerecht, seated in Meise) or, where applicable, the Nederlandstalige Rechtbank van Eerste Aanleg Brussel.

6. Safety

6.1. Each guest will be briefed by a VR Zone Grimbergen host before the session on safety rules and equipment use. After the briefing, each guest participates at their own risk. VR Zone Grimbergen is not liable for damage (physical or material) caused by not following the briefed rules or by misuse of equipment.

6.2. If you are more than 15 minutes late, your reservation will be treated as a no-show per the Cancellation Policy above.

6.3. Persons under the influence of alcohol or drugs may be denied entry and forfeit their session, without refund.

6.4. Food and beverages may not be brought onto the premises.

6.5. To be admitted, you must confirm the name of the person who made the reservation, and may be asked to confirm their phone number or email address.

6.6. Guests under the age of 7 are not permitted in the arenas. Guests aged 7 to 15 must be accompanied by an adult; guests aged 16 and over may play unaccompanied.

6.7. VR Zone Grimbergen suggests that guests wear comfortable clothing and closed, low-heeled shoes suitable for movement during the session.

6.8. Use of the service by a minor is at the minor’s own risk, and at the risk of the parent or responsible adult accompanying them. The parent or responsible adult is responsible for supervising the minor and ensuring their compliance with these Terms. VR Zone Grimbergen excludes liability resulting from a minor’s use of the equipment. It is at the sole discretion of the parent or responsible adult, taking into account the age guidance in 6.6, to allow a minor to use the service.

6.9. In the event of loss, theft, or damage to equipment used during a session, the following flat-rate fees (excl. VAT) apply:

The guest acknowledges that these amounts are reasonable and reflect the value of the equipment.

6.10. VR Zone Grimbergen is not liable for the loss, theft, or damage of personal belongings on or around the premises. Where lockers are provided, their use is at the guest’s own risk. Lost items will be kept for one week, after which they will be disposed of.

6.11. The guest, and where applicable their parent or responsible adult, is solely liable for any damage to persons or property caused by their acts or omissions during a session, and will indemnify and compensate VR Zone Grimbergen for any related third-party claims. By booking or participating in a session, the guest and/or their parent or responsible adult accepts the potential risks associated with the service.

6.12. VR Zone Grimbergen’s obligation to pay compensation, on any legal basis, is limited to the extent covered by its insurance policy; compensation will never exceed the amount paid out by the insurer. If VR Zone Grimbergen is nonetheless held liable for damage not covered by insurance, its liability is limited to the repair of foreseeable, direct, and personal physical damage suffered by the guest, excluding indirect damage such as business loss, loss of income or profit, loss of customers or contracts, or loss of or damage to goods.
